Service Delivery and Multi-Tasking



Why Service Delivery and Multi-Tasking are important for employee? If you have confidence in providing good service and taking up various job responsibilities during the work, firstly it will help yourself to develop with new skills and experiences and then benefit organization too for having talented staff.  If you provide best service, you will experience best results thus, that affects the quality of service. The elements that will help you provide good services can be when you have good listening skill, writing, speaking and physiology. The stages in effective service delivery are:

i.              Identify role and responsibility: Identifying role and responsibility means knowing how you are involved in the job. Managing work in efficient (do things rightly) and effective (doing right things) manner. And manage people depending on their behavior, some needs to be dealt with expression, some in friendly manner and some by thinking analytically.
ii.               Discover the action:The next step would be, find out what action you need to take and for that you have to communicate. Communication can be in the way of debate, dialogue or discussion. Every way has their advantages in reaching to best decision at the end.
iii.          Decision and Commitment: Once the information has been shared and discussed, decisions should be made immediately. The decision should include commitments from your side as well as the customer’s side so that the decision made does not become invalid after wasting so much.
iv.         Take action:  Decision and commitments has been made; now it’s time to put into action whatever has been agreed and decided with the help of knowledge, skills and experience you possess. 

If you follow this simple step, no doubt that there will be problem in providing effective services. 
Multi- Tasking is a tool for excellent performance, as it connects, explores, gives you experience in different field of works closely and build knowledge. Multi-Tasking does not only mean doing multiple works at a time, that have many disadvantages such as not being able to complete work on time, not being able to concentrate on work and not able to complete wok accurately. In simple meaning, multi-tasking can be referred to as managing different works holding one particular post in office.

Managing Executive Support Services



Managing Executive Support Services in every organization is difficult but not possible if you follow the procedures and keep yourself updated. The service provided will depend on the responsibility given by the organization but it is important to know what are the expected roles and responsibilities of Executive Assistants. 

The key roles and responsibilities can be as follows:
i.    Provide high usual administrative support senior manager and head of organization.
ii.  Responsible for the providing administrative support to other staffs under organization in different departments.
iii.  Help in development, implementation and maintenance of effective and confidential office management practices.
iv.   Coordinate and maintain the records of all correspondence in a confidential filing system.
v.      Agree to assigned administrative works by superiors.
Technical knowledge required:
i.      Good communication skills, both verbal and written to use in a professional environment.
ii.   Capability to develop and maintain good working relationships with people at all levels and maintain confidentiality in dealing with issues of a sensitive or personal nature.
iii.   Ability to work by yourself, set priorities to achieve organization’s objectives and capacity to work under pressure.
iv.  Experience in providing confidential decision-making assistance and administrative support services to staffs.
v.    Experience in the use of Microsoft software, Outlook, Word, Excel and PowerPoint.
vi. Good knowledge of office management and administrative procedures and practices.

Royal Highland Festival, Laya Gasa Bhutan



The first Royal Highland Festival was conducted in Laya, Bhutan which is 53 km away from Gasa Dzongkhag. The festival was organized by Gasa Dzongkhag with co-organizer Department of Livestock under the initative of His Majesty the King Fifth Druk Gyalpo. The main purpose of the festival was to encourage the highlanders and to make them uphold their culture and traditions.  People across from 10 dzongkhag that falls under highland area came together to celebrate the 3 days program at Laya, Gasa. During the festival, open marathon was also organized for male and female, which starts from Gasa Tshachu and ends at Festival ground to be completed in two days, as a part of festival program to encourage all the people to live fit and healthy life style.
It was great opportunity for the peoples gathered there to have audience with His Majesty the Fifth King in the happiness of celebrating the birth of our future king and it was 400 years before when Zhabdrung Ngawang Namgyal visited Bhutan through Laya in the year 1616. Peoples of Laya have different culture and traditions as compared to other dzongkhag peoples. When we see their dress and the cap won by female, it makes us realize how the Zhabdrung Ngawang Namgyal would have come from Tibet. Good thing and to be proud is that, the people there have still maintained and preserved the culture and tradition originated from Zhabdrung Ngawang Namgyal.
All the peoples across the Bhutan are equally important and everyone should be happy, which means people’s happiness matters a lot than being financially sound. Keeping in mind one of the pillar of GNH, highlanders have equal right to get good facilities from government and support from other dzongkhag peoples as they are living in difficult place. The basic facilities are available such as healthcare, education and other facilities which are necessary but not much like people of other dzongkhag enjoys best out of best. Thus, the first Royal Highland Festival, this year have given confidence and trust to the highlanders that they are important and can make bring change to nation as a whole. The program will be conducted every year hereafter.

Positive mindset to do job.



Developing positive attitude towards work is important but how many people does that? When we do small jobs, we don’t appreciate that but we should never forget that all jobs whether it is major or minor, we give in equal effort to complete it. Once you are positive about works you do in life, you will start feeling a sense of achievement. If you feel positive on first step that will help in growing motivation for the other works that you might be on the way. It’s human nature that all types of work does not give happiness because some job, you might be interested which will help you to develop yourself in future, some job that just makes you angry and even than you continue to do that because you are in need of money. Rather than focusing on money, if you value the work you do and understand why you are doing that job, that will help you do your work better and you will enjoy the work. When you enjoy the work you are doing, you will never feel burdened and every day it will get easier for you to same type of work and also increase the efficiency. 

Tips: If you don’t know some work that you are planning to do, ask your friends or senior colleagues but never do it wrong intentionally by taking risk. If you have done the job wrongly, it would take days to rectify that again and if you have asked your friends before which might take few minutes, it would save a lot of time as well as resources. So always be positive and have positive mindset to do a job. “If you cannot fly then run, if you cannot run then walk, if you cannot walk then crawl but whatever you do, you have to keep moving forward” by Martin Luther King Jr.

Time/Task Management



Every one of us feels having limited time to do things is a big problem. It is true but to what extend? When you are not able to complete your works on time or when you end up doing nothing whole day? Both in personal and professional life, all the work that comes on your way are important and it is just a matter of how we do things in our own ways. The most popular technique followed by 90% of working professionals is by maintaining things to do list for a day and it has been helpful to some extend when you don’t have to face adhoch activities. Sometimes you have long list of things to do in a day and you don’t even get time to look over those. Most of the staff does thing that is urgent, though it is unplanned. Why this adhoch activity arises? Every work does not come as urgent, before it became urgent that might have been important but you didn’t pay attention. 
 
Pay attention to the work when it is important rather than rushing at last hour when it becomes urgent. When there is some work to be done that is not urgent, we feel there is enough time to do that later and we lack proper planning. Start with the work that is most difficult first and identify your best time of the day. Stick to the plan or list you prepared to do in a day and for those activities that comes as adhoch, manage some time and energy from the planned and divided time schedule. That might little effect to the planned activities but it can be managed somehow as every day won’t be same with busy schedule. Adjust your schedule every day and also learn to say “No” to the work that comes in your way which is not your responsibility and background, as unknown work makes more wastage of time. Finally don’t forget to evaluate schedule in the morning and at the end of the day, which will help you understand what you have been doing and what you need to change.
